Processing a payment for a booking

There are a couple of situations where you may need to manually collect or process payment for a booking:

  • The booking was manually created on the Admin Calendar and payment was deferred, or marked as Pay Later

  • Your facility allows customers to Reserve Online and Pay in Person

In both cases, you can process the payment through the Admin Calendar and subsequently mark the session as paid.


How to process payment for a booking on the Admin Calendar

  1. In Swift Admin, go to the Calendar page

  2. Click on the booking tile for the session you would like to collect payment

  3. Select the Manage Participants and Payments 👤 (second) icon

  4. Next, if the participant is already listed, you can select the 3 dots menu icon next to the customer's name and select Collect Payment

    1. If the participant isn't listed, then type their name in the Customer field and select their profile when it appears

  5. In the Cart modal, under the Cart items section, the booking will be listed along with the price will be charged for the session.

  6. Optional - If you need to add any additional items or add-ons, you can click the Add-on button and selected the necessary items

  7. Click the Next button

  8. If the customer has available credits that can be redeemed for the session, you will be prompted to Redeem the credits. If you prefer not to redeem a credit, simply click Next

  9. On the Summary page, you can opt to update the Total amount that will be charged. Or, you can also apply a discount code.

  10. When you're ready, click the Proceed to Payment button

  11. Select the appropriate payment method.

  12. Click the Pay & Apply Changes button to process the payment. Note: If it is a card payment, the system will charge the customer's card on file immediately for the Total amount.

Once the payment has been processed, the booking tile on the Calendar will display with a green checkmark to indicate the session is paid ✅
