Revenue Categories

Sports facilities often generate revenue from a variety of sources, such as court rentals, memberships, lessons, camps, classes, retail sales, and more. Revenue Categories help you organize these income streams so you can better understand your business performance and simplify your accounting.

By assigning a Revenue Category to each product or service in Swift, every sale is automatically classified under the appropriate category. You can also assign General Ledger (GL) Codes to map these categories to your accounting software such as QuickBooks, making reconciliation and financial reporting much easier.

Assigning a Revenue Category

Revenue Categories can be assigned to the following item types:

  • Services

  • Rentals

  • Lessons

  • Classes

  • Camps

  • Memberships

  • Packages

How to create a Revenue Category

  1. Open the item you want to categorize.

  2. Scroll down to Advanced Settings.

  3. Locate the Revenue Category section.

  4. Select the appropriate category from the Category dropdown.

  5. Click Save.

From that point forward, any revenue generated by that item will automatically be classified under the selected Revenue Category. This classification will appear throughout Swift's reporting, helping you better understand your business performance and export organized financial data when needed.

How to assign a Revenue Category to a Service

  1. In Swift Admin, go to Services

  2. Open the the service you would like to add a Revenue Category to

  3. Scroll down and expand the Advanced Settings section

  4. Locate the Revenue Category section

  5. Select the appropriate category from the Category dropdown.

  6. Click Save.

From that point forward, any revenue generated by that service will automatically be classified under the selected Revenue Category. This classification will appear throughout Swift's reporting, helping you better understand your business performance and export organized financial data when needed.


Assigning a GL Code to System Categories

In addition to the custom Revenue Categories you create, Swift includes several built-in System Categories that are used to automatically classify specific types of transactions.

These include:

  • Refunds

  • Custom Fees

  • Tax

  • Processing Fees

  • Discounts

  • Wallet Liability

  • Gift Card Liability

These categories are maintained by Swift and cannot be renamed or deleted, ensuring that system-generated transactions are categorized consistently.

Although the categories themselves cannot be modified, you can assign a General Ledger (GL) Code to each one so they can be mapped to your accounting software's chart of accounts.

To add or update a GL Code to a System Category:

  1. In your Swift Admin account, go to Settings > Revenue Categories

  2. Find the System Category you want to update

  3. Click the pencil icon beside the category

  4. Enter or update the GL Code

  5. Click Save

Editing or Removing a Revenue Category

To edit a category you've created, click the "..." menu next to it and choose your action from there. Removing a category won't affect past transactions — your historical reports will stay accurate.

Viewing Revenue Category Data

Revenue (Accounting) Category and GL Code are available as columns in your Sales & Revenue Report. To run a Sales & Revenue report and view the relevant Accounting Category and GL Code column,

  1. In Swift Admin, go to Reports > Sales & Revenue

  2. Adjust the relevant fields and click the Run button

  3. In the Data table, click the Columns option

  4. Enable Accounting Category and/or GL Code

This makes it easy to see how revenue breaks down across categories, or to export the data as a CSV file for your bookkeeping.
