Swift Wallets allow facilities and customers to store funds in a digital account balance that can be used toward future purchases in Swift.
Here are a few examples of when a Wallet would come in handy:
A player is at your facility and wants to buy a bottle of water — staff can process the sale and deduct it from their Wallet balance. No need for the parent to be there!
A parent wants to prepay for their child’s lessons, snacks, and gear — and not worry about pulling out a card each time.
A customer receives a refund and wants to keep the funds available for future use instead of having it refunded to their payment card.
⚠️ Important: Wallet funds cannot be used towards membership purchases or payments.
Enable Refunds to Wallet Instead of Credit Card
By default, refunds are returned to the original payment method used for the transaction.
However, you can configure Swift to automatically issue eligible customer-initiated booking cancellations as Wallet credit instead of refunding the customer’s payment card.
This option can be useful if:
The customer plans to return and book again soon.
You prefer offering facility credit instead of processing card refunds.
You want customers to have immediate access to their refunded funds.
You want to reduce delays associated with card refund processing.
How to enable Refund Cancellations to Wallet
In Swift Admin, go to Settings > General
Scroll to the Booking Policies section
Toggle Refund cancellations to Wallet instead of credit card to ON
Once enabled, eligible customer-initiated booking cancellations will be credited to the customer’s Wallet instead of being returned to their original payment method.

Viewing a Customer's Wallet
You can view a customer’s Wallet balance and transaction history directly from their customer profile in your Admin account.
In your Swift Admin account, go to the Customers page
Search and select the customer's profile
Select the Billing tab
You will see their Wallet balance, alongside the actions buttons to Add Funds or Redeem Funds.
Click on the Wallets tab to view the full transaction history (loads, withdrawals, payments, refunds)
Adding Funds to a Customer’s Wallet
You can manually add funds to a customer’s Wallet balance. These funds can either be added as credit without charging the customer or loaded by charging a saved payment method.
How to Add Funds to a Customer's Wallet
Go to the customer's profile
Select the Billing tab
On the Wallet Balance card, click the Add button
Enter in the Amount of the credit you're adding to their wallet
If you are charging the customer's credit card to load the funds, make sure the Charge Payment Method toggle is switched to ON
Optional - You can add a Note to reference as to why the credit is being added
Click the Add Funds button
Load funds without charging customer
Load funds by charging customer's card on file
Redeeming Funds From a Customer’s Wallet
Redeeming funds removes money from the customer’s Wallet balance. This can be used when:
Staff manually needs to deduct Wallet funds.
You are adjusting a customer’s Wallet balance.
A transaction needs to reduce the available Wallet credit.
How to Redeem Wallet Funds
Go to the customer's profile
Select the Billing tab
On the Wallet Balance card, click the Redeem button
Enter the Amount you're debiting from the customer's wallet balance
Click the Redeem Funds button to confirm and process
💡 TIP: Redeeming funds will not directly apply the funds towards a booking or purchase. Follow this guide if you are looking to process a payment for a booking using Wallet funds.
Processing a Booking Payment Using Wallet Funds
Customers can use their Wallet balance as a payment method when booking eligible services.
You can also process a Wallet payment on behalf of a customer through Swift Admin.
How to Apply Wallet Funds to a Booking
In Swift Admin, go to the Calendar page
Click on the booking tile and select the Manage Participants and Payments (second) icon
In the Customers field, type in the customer's name and select their profile once it appears. If they're already listed as a participant, select the Manage Bookings and Payments (calendar) icon next to their name
Under the Bookings panel, click the the Add All option, or click the Add (+) button next to each session you would like to process payment for
Click the Checkout button
For Payment Method, select Wallet
Click the Pay & Apply Changes button
Once completed, the booking will display as Paid with Wallet.
