Lessons

Lessons let you schedule and sell private, 1:11 sessions between an athlete and an instructor or coach at your facility

When to Use Lessons

Lessons are designed for private, one-on-one (1:1) coaching between a single coach and a single athlete — ideal for sessions focused on learning or refining a specific skill.

If you need to accommodate more than one participant, or want to offer semi-private or group sessions, set these up as a Class instead.


View All Lessons

To see all lessons currently offered at your facility, go to Services > Lessons in your Admin dashboard. This page lists every lesson offered by the facility.


How to create a Lesson

To create a new lesson, click on the "+ New" button on the top right


You will land on the "Add Lesson" service form, which is what you'll need to fill in order to create the lesson.

Basics

When creating a Lesson, you'll want to set a clear name, and optionally, preview text and/or a description. These are customer-facing fields, so make sure they’re clear and helpful.

We've often found that being as descriptive as possible can help with the customer experience with lessons. Consider whether lessons taught by different instructors have different price points, whether different instructors have lessons of different durations, etc.

An example of a strong title for a service would be 30-Minute Hitting Lesson - Coach Patrick. For customers viewing the lesson offerings, this makes it immediately clear what they are getting when they select this option.

Preview Text: A short summary that gives customers a quick idea of what the rental is. There's a limit of 150 characters, and the format would be plain text only.

Description: This is where you can be more descriptive, and can add some flair. Use this space to provide any extra details, like what’s included, what to bring, or specific policies.

Media: You can add an image to your service card, giving each service its own unique look and helping customers quickly identify what they’re looking for. The image file size should be 2MB or less, and should be 16:9 ratio.

Not ready to add images yet? No problem, any service without one will automatically display your facility’s banner instead.

Duration & Instructors

Now you can choose the duration of this lesson, as well as indicate which coaches or instructors teach it.

Swift offers fixed durations for lessons, beginning with 15 minutes and stretching all the way up to 3 hours.

Multiple Durations for the Same Lesson

If you have multiple "types" of the same lesson with varying durations or varying prices (for example: 30-Minute Hitting Lesson, 60-Minute Hitting Lesson, etc.), you will need to set up multiple lessons in Swift.

Don't worry though, you don't need to fill out the entire form each time. Just fill it out once for one of the variations (ex: 30-minutes), and once it's created, duplicate the lesson and just change its duration.

Instructors

Use the Instructors field to select the instructor(s) who can provide this lesson. If the lesson can be taught by multiple instructors, you can select more than one profile.

Availability

Selecting instructors alone does not make the lesson available for booking.

This section simply tells Swift which instructors are eligible to teach the lesson. To make the lesson bookable, each selected instructor must also have Availability configured for the appropriate room or space.

When a customer searches for available lesson times, Swift matches:

  • An instructor assigned to the lesson

  • The instructor's availability

  • The availability of the assigned room or space

Only time slots where all of these conditions align will be displayed to customers.

Rooms

Choose which room(s) should be blocked off when a customer books this lesson. You can select a room at any level of your facility hierarchy — including the entire facility, if the lesson requires it.

What if you want to allow multiple spaces to be booked at once? Or assign a specific lesson to any of 3 different spaces? That's where the "Reserve On Purchase" setting comes in.

Reserve On Purchase

This setting controls which rooms get blocked off if you've selected multiple rooms above. The two options are:

  1. Any Selected Room

  2. All Selected Rooms

Any Selected Rooms

This is the default behaviour. With "any selected room", Swift will auto-assign the lesson into ONE of the selected rooms, depending on what's available. Room assignment is automatically done and customers will not be able to select a room themselves when booking lessons.

For example, if you offer a Hitting Lesson that can happen in any one of 3 cages at your facility, then you can select this option. By doing so, a customer will get auto-assigned into any one of the 3 cages based on the room + coach's availability.

All Selected Rooms

On this setting, Swift will reserve all selected rooms, as long as they are all available.

For example, an instructor offers a lesson that requires "Hitting and Fielding Lesson" that requires 2 cages + 1 field. You would select all the required rooms and change the setting to "All Selected Rooms". By doing so, a customer will see time slots where the coach AND all the selected spaces are available, and will block them all off when they book.


Pricing

In this section, you can decide how much you want to charge for booking this lesson. Additionally, you can also set a special price for specific membership groups.

Default Pricing

By default, your lesson will have no associated prices. In that case, it will only be bookable by using Credits (see Packages or Memberships for more context on how credits work).

The Default Price is what will be displayed to all your public (non-member) customers. To add a default price for a Lesson,

  1. Select the "Default Pricing" tab

  2. Followed by clicking the "Add Price" button

  3. Finally, set the default price for the lesson

Membership Pricing

If you would like a discounted rate to your members for this lesson, you can set a Membership Price. To add membership pricing for a lesson,

  1. Select the Membership Pricing tab

  2. Click the Add Price button

  3. Set a price

  4. In the Memberships field, select all the membership group(s) that this specific price will apply to.

  5. Click Save.

Advanced Settings

If you would like to setup some additional details, you can click on the "Advanced Settings" section to expand it, and a new set of settings should appear below. These are all optional, and not necessary to create your lesson.

Tax Rates

Enable the "Collect tax" toggle to set and charge customers a pre-defined tax rate when they purchase this lesson. This will populate the correct tax amount on your booking page, as well as internally on the admin side of Swift when you charge customers.

If you don't have any tax rates created, visit the Tax Rates settings section to learn how to add them.

Custom Fees

Enable the "Collect Custom Fee" toggle to charge customers a pre-defined custom fee when they purchase this lesson. This will automatically populate the custom fee amount on top of the booking at checkout, which will be payable by the customer.

If you don't have any custom fee rates created, visit the Custom Fees settings section to learn how to add them.

Waitlist for Lessons

If your lessons regularly fill up, enabling a Waitlist allows customers to register their interest when no spots are available. Once a lesson has been reserved, customers will see the option to join the waitlist for the same time slot instead of booking the lesson.

If the time slot later becomes available, you can enable "Notify customers when a spot opens up" so that Swift will automatically notify customers on the waitlist that an opening is available.

Time Slot Restrictions

Time Slot Restrictions allows you to control how far in advance or how close to the session customers can book. Useful for:

  1. Blocking same-day bookings (set a Start restriction of 1 day)

  2. Limiting bookings to within 30 days (set an End restriction of 30 days)

  3. Giving members a longer booking window than the public (e.g., 7 days for non-members, 30 days for members)

For example, to prevent same-day lesson bookings:

Prevent people booking too far into the future, no more than 30 days out:

Give members a longer "window" to book lessons at your facility - you can give the Public (Non Members) an end window of 7 days, and give members an end window of 30 days.

Age Restrictions

If you offer lessons for specific age groups, you can set restrictions in Swift so that only players of the expected ages can book the lesson.

If you setup an age restriction here, customers will be asked to specify their date of birth when booking. They will only be allowed to book if their age is within the limits you've chosen.

To enable age restrictions, turn the toggle to "ON". Then, you'll see the option to specify a "Minimum Age" and a "Maximum Age". It's worth noting that you can leave either end of the range blank if you don't want to set a limit (for example: "Ages 8 and up"). The ranges are also inclusive, so if the end range is 16, then 16-year olds will be allowed to book the lesson.

Additional Checkout Details

Depending on the Swift plan you've subscribed to, you can collect additional information from your participants by using Custom Fields.

Private

By making this lesson private, only customers with a direct booking link to this lesson will be able to book it. It will be invisible to all other customers, and will not appear on your booking page.

Calendar Colour

Set a colour for this lesson's booking tile, making it easy to spot at a glance when viewing your Calendar.


Edit A Lesson

To edit a lesson, click into the specific lesson from the Services > Lessons page and you will be taken to the "Edit Lesson" form.

Here, you can edit any of the details mentioned above. Refer to the previous steps and images to ensure that your lesson is changed to exactly how you want it set up.

Just remember to click the Save button at the bottom to apply your changes!


Duplicate An Existing Lesson

Duplicating an existing lesson can make it easier to create multiple lessons with similar characteristics.

  1. Go to Services > Lessons

  2. Click into the existing lesson that you want to duplicate

  3. In the top right corner, select the down arrow next to Copy Booking Link

  4. Select Duplicate Lesson

You'll be taken to a new "Add Lesson" form with all the details of the previous lesson filled in. The title will have the word "(Copy)" added to it, to indicate that this is a duplicated lesson. Don't forget to change that before completing your lesson setup!


Delete A Lesson

Click into the existing lesson that you want to delete and scroll down to the bottom of the page. There, you'll see the Delete button on the bottom left.

If you do not have any membership or packages that provides credits towards this specific service, you can click Delete and confirm that you'd like to delete this lesson. Note, this action cannot be undone.

Miscellaneous

There are some additional things you can do with lessons, which are explained below.

Direct Booking Links

Want to send a direct link to book a lesson to a customer? Perhaps you have a private lesson that only specific customers can book? Or you would like to add a button on your website that takes customers directly to this lesson?

This button does exactly that! On the top right of a lesson form, you should see the "Copy direct booking link" button. Click this, and a direct link to the lesson will be copied to your clipboard.

Booking Page Appearance

You may also want to control how the "Lessons" category as a whole appears on the booking page. You may want to call it "Private Sessions" or "1:1s" instead of the generic "Lessons" shown on Swift. In that case, you can visit the Services > Lessons page in your admin dashboard, and click the "Gear" icon on the top right.

You will now see a modal pop up, with a few options. Here, you can customize:

  • The title of the Lessons category - you can call it "Private Sessions" for example

  • The description of the Lessons category - you can add any additional context here

Once you hit Save, both of these changes will be immediately reflected on your booking page.
