Adding Products and Managing Inventory

Learn how to create, organize, and manage retail products in Swift, including pricing, inventory tracking, tax rates, and cost of goods sold (COGS).

The Retail feature is only available to facilities who are subscribed to certain plan types. If you unable to access the Retail section, make sure your facility is on an eligible plan or your staff profile has the correct permission to view this page. Contact Support and we can help too!

Swift's Retail feature allows you to sell physical products directly from your facility, making it easy to manage merchandise, equipment, food, beverages, and other retail items alongside your bookings and services.

From the Retail section, you can create products, organize them into categories, track inventory, assign tax rates, and process in-person sales through Swift.

To view or manage your products:

  1. Log in to your Swift Admin Dashboard.

  2. Navigate to Retail > Products.

This page displays all of the products currently available for sale at your facility. From here, you can add new products, edit existing ones, or manage inventory.


How to Create and Add a new Retail Product

  1. In your Swift Admin account, navigate to Retail > Products

  2. Click the New button on the top right of the page.

  3. You will land on the Add Product form, where you will need to provide details related to the item in order to create it.

Basics

Here you can set a name for this Product (ex: Baseball Cap), as well as an optional description.

Media (Product Image)

You can upload an image to help your staff easily identify the product during checkout.

For the best image quality, we recommend using an image that is 1024 × 1024 pixels.

Price

Enter the price you want to charge customers for the product.

This is the amount that will appear during checkout before any applicable taxes are added.

Category (Optional)

Categories help organize your products and make reporting easier by grouping similar items together.

For example, you might create categories such as:

  • Merchandise

  • Food & Beverages

  • Equipment

  • Apparel

If you've already created categories, simply select one from the dropdown menu.

If you haven't created any categories yet, refer to the Retail Categories article for further details.

Barcode (Optional)

Barcodes are used for faster in-person checkout. Enter the product’s barcode number in this field

💡 Tip: If you are using barcode scanners at your facility, make sure each product has a unique barcode value to avoid duplicates.

Tax Rates

Choose the tax rate that applies to this product. When processing a retail sale, the tax amount will automatically be added to the total at checkout.

If you do not select the tax rate here, then tax will not be included at checkout when you process a Retail Sale.

Inventory Management

Swift gives you the option to track inventory for each product — so you always know how much stock you have on hand.

To enable inventory tracking:

  1. Toggle Track Quantity to ON if you want to manage stock levels

  2. Once enabled, you’ll see options to Add or Remove stock.

➕ To Add Stock:

  • Click the Add button.

  • Enter the quantity you want to add to your inventory.

  • Click Add Stock to confirm.

➖ To Remove Stock:

  • Click the Remove button.

  • Enter the quantity you want to subtract.

  • Click Remove Stock to confirm.

Once enabled, you’ll be able to add the current stock count and monitor it as sales are made.


Cost of Goods Sold (COGS)

The Cost of Goods Sold (COGS) is the amount it costs you to produce or purchase the item you sell. Tracking this helps you understand your profit margins and see exactly how much you earn per sale when you run a Retail Sales Report.

A few helpful things to note:

  • When a product is sold, its quantity will automatically decrease

  • If you refund a product sale, the quantity will not update automatically — If the item is returned to your inventory, you’ll need to manually add it back using the Add button.


View all products

To view all the existing products available for sale at your facility, just navigate to Retail > Products in your Swift Admin Dashboard.
