What is a Swift Onboarding Call
A Swift Onboarding Call is a live, screen-shared session with a Swift Onboarding Specialist who guides you through setting up your account for the first time.
It's designed to:
Get your booking page live as quickly as possible
Give you a chance to ask questions and learn the platform hands-on
Make sure your account is configured correctly from day one
What to Expect
Your onboarding session is a guided walkthrough, not a setup service. Your Onboarding Specialist will show you how Swift works and walk alongside you as you build out your account in real time.
Think of it like this: You're in the driver's seat, and we're in the passenger seat with the map.
Before the Call
Have the following items ready:
💻 A laptop or computer to ensure a smooth onboarding experience
💳 A credit card to activate your plan
🗒️ Your bank account details, business details, and EIN information on hand (for connecting Stripe, Swift's payment processor)
What You'll Set Up
✅ Your Facility: name, timezone, and custom booking URL
✅ Your Schedule: operating hours for your business
✅ Rooms: the physical, bookable spaces at your facility
✅ Stripe: your connected payment processing account
✅ Services: the things clients can book and pay for (rentals, lessons, camps, classes, memberships, packages)
If time allows, you'll also have the option to:
Set up tax rates and custom fees
Upload your cancellation policy and liability waiver
Explore the functionalities of the Calendar
Add your logo and facility branding
Invite staff members
Setup Your Facility 🏢
You'll start by entering your facility name, address, and timezone.
These fields are straightforward, but there's one important detail: as you type your facility name, Swift automatically generates your booking URL based on it. This is the link your clients will use to book and pay online, and it's also the link you can embed or connect to your existing website.
You can edit this URL during setup if you'd like something different from what's auto-generated — just know that changing it later may mean updating any links you've already shared.
💡 TIP: Bookmark the Swift Admin login page — admin.runswiftapp.com — in your browser. This is the link you'll use every day to manage your facility, so it's worth having it saved and easy to find!
Create a Schedule 🗓️
Next, you'll set basic open and closed hours for your business. This tells Swift when your facility is generally available for bookings.
Don't worry about getting this perfect — you can always come back and edit it later from the Schedules page.
💡 Tip: Use the Copy Time function to save time. If your hours are the same across multiple days (for example, Tuesday through Sunday match Monday), click "Copy Time" next to Monday and select the other days to apply those same hours instantly.
Create Rooms
"Rooms" are the physical, bookable spaces inside your facility — think courts, cages, fields, lanes, or studios. You'll create one Room for each distinct space you offer.
Depending on your facility's layout, you may need to nest Rooms inside each other — for example, if you have one large field that can also be booked as two smaller half-fields. Visit the Rooms page to learn more about how nesting works and when to use it.
Once you've added your Rooms, you'll see a visual layout of your facility appear on the right side of your screen. This layout helps you picture how your space is organized and will come in handy later when you start building out Services. You can adjust it at any time.
Activate Your Plan
Head to the Plan & Billing page to add a payment method and subscribe to a Swift plan. Activating your plan unlocks the rest of the setup process.
⚠️ Note: To complete this step during your call, have a credit card on hand. It may also take your Onboarding Specialist a few minutes to assign the correct plan to your account, so this step can involve a short wait.
Connect Your Stripe Account
An important step in the onboarding process is creating, and connecting your Stripe account. Stripe is our payments processor, and having an account will allow you to accept credit card payments online. Learn more about Stripe in this article.
Visit the Payouts page to create your Stripe account. You'll also be asked for your bank account details during this process so that Stripe can issue payouts when they're available.
Here are a few tips that we have regarding the Stripe registration process:
Select your business type carefully. If your business is an LLC, select "Company" to access additional options to choose from.
When asked to verify your Stripe account, click the "Verify with text message" text at the bottom of the screen to simplify the process.
When asked to pick your industry, search for and select "Recreational Camps." It's the closest industry that Stripe offers to what many of our clients do.
Finally, when inputting your bank account information, always click "Input Bank Details Manually." It's a small link that can be found at the bottom of the page and is a much simpler way to move through the process.
Create Bookable Services
This is the core of onboarding — setting up the actual programs and offerings your clients will book and pay for. Services can include:
Memberships
Rentals
Lessons
Classes
Camps
Packages
Your Onboarding Specialist will typically start with memberships, then move through rentals, lessons, classes, and packages.
Calendar and Availability
Once your Rooms and Services are in place, take a few minutes to:
Check out the Calendar to see your hours and Rooms in action
Practice creating a booking or event on the fly
Visit the Availability page to practice adding and viewing instructor availability
This is a good time to get comfortable navigating the day-to-day tools you'll use most.
Update Your Facility Settings
Visit the Settings page to fine-tune the details that shape your booking page and customer experience:
Tax Rates: Decide if you'd like to collect tax when customers purchase services & products at your facility. Learn more about Taxes in this article.
Custom fees: Decide whether to pass along processing fees, technology fees, or other charges to customers. Learn more about Custom Fees in this article.
Cancellation Policy: Set a minimum number of hours before which customers can cancel and get a refund.
Liability Waiver: Upload your liability waiver so customers are required to sign & agree to it before making any bookings or purchases.
Logo & Branding: Upload your logo & banner image, along with a description of your facility to guide new customers.
These items will all affect your booking page, allowing you to customize it to your heart's desire and give it a cleaner look!
Add Staff Members (Optional)
At this point, a bulk of the onboarding process is now complete! You now have the option to invite other staff members (business partners, front desk, coaches & trainers, etc) to your account.

Add Verified Sender
If you have access to the Email Blast tool, add your own email address as a verified sender to ensure that email blasts come from your domain.
This ensures that any time customers reply to an email, it ends up in your inbox instead of ours.
